Greetings Region 20!
Please find below the official announcement for the Region 20 summit in Edinburgh next year:
Next year’s regional summit will be held at the Marriott Hotel in Edinburgh from Friday 21st April to Sunday 23rd April 2017, and will extend over an entire weekend, with catering included in the various packages.
The summit will be officially opened on Friday evening with “The President’s Supper”, a 3 course meal that will be followed by informal presentations by Regional & Chapter Commanders. Each presentation must include a joke that will be assessed for the award of the Golden Horta (currently held by our VRC).
Dress code for the Supper will be advised shortly, but will be something nice and bright!
Saturday morning is your own, and you will have the opportunity to explore some of the sights in the fantastic city that is Edinburgh, which is easily reachable by car, bus or even tram.. The summit reconvenes at 3pm with games and the opportunity to visit panels that may include presentations from any of the additional programmes offered within SFI (confirmation on the panels being offered will be confirmed nearer the event). There will also be a Region 20 muster where promotions and commendations from Region and Chapters will be formally presented, and an opportunity for you to “Ask the Regional Team” any questions you have about R20 and SFI.
We won’t have a formal meal on Saturday, instead we’re offering a buffet meal so that people can continue to have fun and mingle for as long as possible. This will (hopefully) merge seamlessly into an evening session where the opportunity to play board games, chat, have a drink and generally enjoy the fact that we all love Star Trek & Sci-Fi for as long as possible.
To stave off those late night nibbles, we’re going to finish with “something” in a bun before people beam back to their rooms.
Sunday morning will be an extremely informal chat over coffee and breakfast (lots of coffee!) before shuttles depart to the different parts of the Region.
In order to give as many people as possible the opportunity to attend, we have worked out pricing for the various components of the weekend. We’ve also negotiated an extremely good rate for rooms (with breakfast) at the hotel. (Please note, room bookings are separate from summit attendance, and you will need to contact the hotel direct to book rooms
Summit Only Pricing:
1. Full Weekend – Fri Evening to Saturday night= £75 per person (Friday dinner, Summit Entrance and pack). This does not include accommodation
2. Saturday only – (summit entrance and summit pack) – £50 per person. Again this does not include accommodation
The summit entrance fee includes the following: a tea/coffee break, a finger buffet and ‘something in a bun’ supper (tea/coffee and a bacon/sausage sandwich or a vegetarian option)
To Book Your Place:
A £25 non-refundable deposit per person is required ASAP, with the balance being due no later than 01/03/17. (Payment by instalment is encouraged).
We have negotiated very good room rates with the hotel for summit attendees: (summit entry fee of £50 per person in addition)
Room Rates (double occupancy):
a) Friday Night Only dinner bed and breakfast – £145 per twin/double room (2 occupants sharing) meaning this is a cost per person for the Saturday night of £72.50
b) Saturday onwards – 1 night stay, bed and breakfast – £95 per twin/double room (2 occupants sharing) meaning that this is a cost per person for the Friday night of £47.50
c) Full Weekend – 2 nights stay, dinner bed and breakfast Friday night, Bed and breakfast Saturday – £240 per twin/double room (2 occupants sharing) meaning a cost per person for the Friday night and Saturday night of £120 per person.
Room Rates (single occupancy):
(again summit fee is in addition)
a) Friday night only dinner bed and breakfast – £110 per room
b) Saturday night only – 1 night stay, bed and breakfast – £85 per single room.
c) Full Weekend – 2 nights stay (dinner bed and breakfast Friday, bed and breakfast Saturday)- £195 per room
Should you just wish to attend the Friday night get together it would be £26.95 for your three course dinner (plus your drinks of course!)
Please note that there are a limited number of disabled friendly rooms available so if you need one please book ASAP.
To book the option you require, please send your £25 deposit, confirming the names of each attendee, together with the summit package you require via PayPal to firstname.lastname@example.org (marking your payment for friends & family).
Dinner only (Friday Night)
Once the deposit is paid, you will be given a booking code for the hotel and you will need to arrange the room balance yourself with the hotel, however the summit option would need to paid directly to Region20
